VBC Guidelines for Multi-Media Promotion of Church Events

We have in place several avenues to promote our church events and it’s our desire to help every event be as successful as possible. These avenues include weekly Sunday video announcements and bulletin, the VBC website and the Mid-Week Connection Newsletter. Over the last couple of years, we have discovered that for promotion to be effective, announcements need to begin at least 3-4 weeks prior to the event. This creates more opportunity for everyone to see and hear the announcements.

Listed below are the guidelines that everyone is asked to follow in order to have all ministry events promoted effectively. Please understand, if the guidelines are not followed, it is very possible that an event will not get full publicity. If you have any questions, please contact Don Dixon or Bill Johnson.

Video Announcements:

Video announcements are shown during the 2 morning worship services and can also be viewed on the website and in the Mid-week Connection Newsletter. These are very effective in getting event information out. But, they take the longest to create and publish. The video announcements are focused on church wide events for the most part.

For this reason, here are the guidelines for the video announcements:

  • At least 6 weeks prior to the event, visit the “Contact Us” page on our website and click on the “Building Usage and Special Events Form” link. Fill out both forms completely and then click the submit button. Once the event has been approved, a follow up contact will be made to confirm the event and to begin the process for creating the publicity plan for the event. This 6 week window allows time to create and publish the announcement to run for 3-4 weeks leading up to the event.
  • To create the announcement, complete and specific information must be given. Events with incomplete information cannot be given publicity priority so please have all the details needed for the event so that the promotion can be completed. Any special artwork, photos, or logos will need to be emailed to Bill Johnson at webmaster@vbcmtj.org.
  • Events , such as meetings meetings for a ministry, can be promoted using other media listed below.

Pre Worship Service and Website Information Scroller:

Prior to the morning worship services each Sunday we have a scrolling, silent text and artwork power point presentation. This can also be seen on the Home Page of the church website in the lower right hand corner of the page.

These can be quickly updated at anytime and both are great for any last minute announcement that needs to be seen. They will be used to post all requested video announcements that are not submitted before the 6 week timeline. Any special artwork, photos, or logos will still need to be emailed to Bill Johnson before the announcement can be completed.

Weekly Bulletin Announcements:

The weekly church bulletin is completed on Wednesday mornings. All announcements desired to be placed in it must be submitted to the church office before the end of the day on Tuesday. Due to the large amount of announcements that are in the bulletin each week, it is recommended that each request be received at least 2 weeks prior to the announcement being placed in the bulletin. All last minute request can only be approved if space is available for the upcoming Sunday bulletin.

VBC Building Usage Request Form: Complete and submit this form if you are requesting the use of the church building for an event. Please fill out all sections with as much information as possible. You will be contacted after a review of the request with a confirmation.
VBC Special Events Promotional Information Form: Complete this form if you would like your event to be promoted by the church via the church website, church bulletin and video announcements. Please give as much information about your event as possible. Please note: we only promote churchwide events within Victory Baptist Church.
